If your institution's billing contact is not already in the Texas A&M University payment system, they will receive a customer information form by email from ar@tamu.edu. Please check spam or junk folders, as this message is automated.
When completing the form:
Use your institution’s legal name as reported to the IRS.
Enter your institution’s Federal ID number/tax ID exactly as listed on your W-9.
If the legal name and Federal ID number do not match IRS records, a customer number cannot be issued.
For “Are you tax exempt?”, select No.
This question refers to Texas tax-exempt status. Conference registration and shuttle services are non-taxable in Texas, so taxes will not be charged on your invoice.
Select Yes when asked if you are a new customer.

Cancellation, Refund, and Substitution Policy

Refund & Substitution Policy:
Institutions are financially responsible for all delegates and advisors registered at the close of registration. Substitutions of delegates/advisors are permitted until the end of regular registration on April 13, 2026 5:00 PM (CST). Refunds are not guaranteed and may not be approved except in extenuating circumstances.
Cancellation Policy:
Cancellations of delegates are generally not permitted. Institutions are responsible for paying for all delegates and advisors registered on the Institution Registration Form at the close of regular registration.
